How to Oil a Paper Shredder (and How Often)

Oil a cross-cut or micro-cut shredder every time you empty the waste bin. Apply a thin line of shredder oil across the full width of the paper entry, then run the machine in reverse for four to five seconds. Never use an aerosol lubricant and never use a petroleum-based oil.
That is the whole procedure, and it is the single highest-return maintenance task on the machine. Almost every shredder that arrives for service with a burnt-out motor or a stalled cutting head has been run dry for a long time. Below is why it matters, how to do it properly, and the specific things that damage cutters.
Why oiling matters more than people think
A shredder cutting head is a pair of counter-rotating shafts carrying interleaved cutting discs that pass within a fraction of a millimetre of each other. Two things happen continuously while it runs.
Friction. Steel discs shearing paper generate heat and wear at the cutting edges. Lubricant keeps a film between the moving surfaces, which reduces both.
Paper dust. Every sheet leaves fine cellulose dust and, on coated or recycled stock, clay and filler particles. Those accumulate in the tooth gaps. Dry dust packs down hard and acts as an abrasive. Oil suspends it and carries it out with the shred.
The failure sequence is predictable. Dust builds up, the cutters have to work harder, the motor draws more current, it runs hotter, the thermal cut-out starts tripping, and eventually either the motor fails or the cutting head seizes. People usually notice the symptom — “it keeps overheating” or “it jams on five sheets when it used to take fifteen” — long after the cause set in.
The economics are stark. Oil is a consumable costing a few dollars a bottle. A replacement cutting head, where one is even available, is a substantial fraction of the machine's value, and the labour to fit it usually is not worth it on a mid-range unit.
Micro-cut machines need it most
The finer the cut, the tighter the tolerances, the more cutting surface per sheet and the more dust generated per sheet. A micro-cut shredder at P-5 or above is the least tolerant of a missed oiling of any machine in the range. Cross-cut machines at P-3 and P-4 need it consistently but are more forgiving. Strip-cut machines at P-1 and P-2 have simpler, coarser cutters and generally need oiling less often — but they still benefit, and the manual is the authority for your specific model.
How often
The most widely used manufacturer rule is Fellowes': “It is a good practice to oil the cross-cut shredder each time the wastebasket is emptied.” That rule works well because it ties the task to something that already has to happen and scales automatically with how hard the machine is being used.

Two additional triggers worth adding to your routine: oil after shredding a large volume of glossy, coated or heavily recycled stock, which is unusually dusty; and oil at the start of the day if the machine has sat unused for several weeks.
You cannot meaningfully over-oil a shredder in normal use. Excess simply passes through into the bin. Under-oiling is the failure mode that costs money.
The correct procedure
- Empty the waste bin first. Oiling into a full bin wastes oil and can leave oily shred sitting against the cutters.
- Switch the machine off, or to standby, before applying anything.
- Apply a thin, continuous line of oil across the full width of the paper entry slot. The full width matters. Oiling only the middle leaves the outer discs dry, and those are frequently the ones that seize first because they take the edges of every sheet.
- Run the machine in reverse for four to five seconds. Reverse distributes the oil back across the cutting surfaces rather than immediately flushing it into the bin.
- Feed two or three sheets of scrap paper through forwards. This spreads the film evenly and takes up any surplus so the next document does not come out oily.
- Wipe any residue from the feed slot and housing. Oil on the outside of the machine attracts dust and, on the throat, can transfer to documents.
If your machine has a manual auto-reverse or a dedicated oiling mode, use it in preference to the above — the manufacturer has designed the cycle to suit that cutting head.
What oil to use, and what will damage the machine
Use a purpose-made shredder oil. It is formulated to be thin enough to reach the tooth gaps, to suspend paper dust, and not to gum up as it ages. Shredder oils are also generally non-toxic and compatible with paper recycling streams, which matters if your shred goes to a recycler.
Do not use
- Aerosol lubricants of any kind. Fellowes states directly: “Do not use any oil or lubricant that is dispensed from an aerosol container or that is petroleum-based.” The propellants are flammable, and the machine contains a motor with brushes and switch contacts that arc. This is a fire risk, not a wear risk.
- Petroleum-based oils, including motor oil and general-purpose penetrating oils. They can degrade seals and plastic components and leave a residue that hardens.
- Cooking or vegetable oil. This one circulates as a household tip and it is a bad idea. Vegetable oils polymerise as they oxidise — they turn into a sticky varnish. That is the exact opposite of what you want between two cutting discs, and the resulting deposit is difficult to remove without dismantling the head. It can also go rancid.
- WD-40 and similar water-displacing sprays. These are aerosols, they are solvent-heavy, and they are not lubricants in the sense a cutting head needs.

Bottled oil versus lubricant sheets
Both are legitimate. They trade off differently.
Bottled oil puts a controlled amount of lubricant exactly where you want it, across the whole cutter width, and is the cheapest option per application. It requires you to open the machine's feed area and take thirty seconds over it, and it can be messy if over-applied.
Lubricant sheets are impregnated sheets you feed through like a document. They are clean, quick and effectively impossible to do wrong, which is their real advantage: in a shared office, a task that takes one action gets done and a task that requires finding a bottle does not. Fellowes lists its oil sheets as an approved alternative to bottled oil for its machines. The trade-off is that a sheet deposits less lubricant per pass than a proper application of oil and costs more per application.
A reasonable position for a shared departmental machine: keep sheets next to the shredder for routine use, and do a proper bottled-oil application when the bin is emptied. For a heavily used micro-cut machine, bottled oil should be the primary method.
One caution: some sheet products are marketed as combined lubricant-and-sharpener sheets. Shredder cutters are not sharpened by abrasive paper, and abrasive material is not something you want passing through a fine cutting head. Check that what you are buying is a lubricant sheet.
Automatic oiling systems
Larger office, departmental and industrial machines are frequently available with an automatic oiler. The design varies by manufacturer but the principle is consistent: a refillable reservoir or replaceable oil cartridge feeds lubricant to the cutting head on a schedule, usually driven by running time or by shredding cycles, so the head is oiled without anyone remembering to do it.
The case for one is straightforward. On a shared machine, manual oiling is the maintenance task most reliably skipped, because there is no single owner and no immediate consequence. An auto-oiler removes the human step. On a high-volume micro-cut machine, where the cost of a neglected cutting head is high and the required interval is short, that is usually worth the price premium.
What an auto-oiler does not do is eliminate maintenance:
- The reservoir needs refilling or the cartridge replacing. Put it on a schedule; a system that has run dry is worse than manual oiling because nobody is checking.
- Use the oil the manufacturer specifies. Auto-oiler delivery systems are calibrated for a particular viscosity and can clog with the wrong product.
- The bin still needs emptying, the sensors still need to be kept clear, and the machine still needs to be kept within its duty cycle.
Other maintenance that goes with oiling
- Do not overfill the bin. Shred packed against the underside of the cutting head is a common cause of jams and of the head running against compacted material.
- Keep the air vents clear. Motors are cooled by airflow. A machine pushed against a wall or into a cabinet will overheat regardless of how well it is oiled.
- Vacuum the feed slot periodically with the machine unplugged, to clear accumulated dust and staple fragments.
- Respect the sheet capacity and the duty cycle. Chronic overfeeding damages cutting heads faster than anything else on this page.
- Watch what goes in. Where the manual says no staples, paper clips, laminated sheets, adhesive labels or plastic, it means it. Adhesives in particular bind dust to the cutters and are the hardest contamination to remove.
